Terms for this website
These terms cover kvutza.com only. Using the Kvutza portal is covered by a separate written agreement between your group and us; nothing on this website forms part of it.
What the website is for
It describes the portal and lets you ask for a demo. We try to describe the portal accurately and to say plainly where a feature is switched off until you turn it on; if something here and your agreement differ, the agreement wins.
Your group's data
Your agreement covers the portal and your data. Its promise, which this website repeats: You always get your data back. If hosting ends, we keep an encrypted archive for 12 months, then delete it. What that means if a hosted group stops paying is below; how your data is kept is on the Security page.
If a group we host stops paying
This is what your agreement says, in short; if the two differ, the agreement wins. Counted from your paid-through date:
- From the next day, the portal is read-only: work under way can finish, and nothing new starts.
- After 40 days it is export-only. The portal makes a final full export, your whole database and every spreadsheet in one encrypted file (with your group's own key if you hold one), for your owner to download.
- From day 90 we may shut the hosted portal down. A person decides, never the system, and only once the portal has shown you the date for at least 14 days and you've had an email giving it. We keep that final export as an encrypted archive for 12 months.
- Pay again within those 12 months and we restore your portal from the archive. Restoring it costs a one-off fee of $250, invoiced when we restore it. The archive it came from is deleted six months later: by then your portal and its own backups hold your data again.
- Otherwise we tell you 30 days before the archive is deleted, then delete it.
Your owner gets an email 7 days before each change, and the portal shows the date of each stage. Paying again before the shutdown restores normal service at once. If you run Kvutza on your own infrastructure, self-hosted or as a one-time purchase, your data never leaves it: an expired license makes the portal read-only, then export-only, and we delete nothing.

Please don't try to break into it, overload it or use the form to send anything other than a genuine request. The website is provided as it is, without warranties, to the extent the law allows.
