Questions

The things group owners ask first, answered plainly.

Is my data mixed with other groups'?
No. Your group gets its own private installation and database, not a shared customer database. Your data is encrypted, kept private and remains yours.
Can you see my buyers, deals or money?
Not in the ordinary course. Hosted installations send us a short health report (see What we share): version, whether the database is reachable, counts of queued messages only, which switches are on. It also carries one number, how many orders were entered last month, used only to match your plan. Never who, what, or any amount: no name, email, order or amount, and no count of your buyers or deals. You can read the last report sent on your own settings page.
What does switching involve?
You (or our onboarding help) import your buyer list from a spreadsheet; your owner connects your email, shipping and messaging accounts in Settings, each with step-by-step instructions; buyers finish their accounts from an invitation link. Trial mode lets you run a real deal first without your buyers being messaged. More on Book a demo.
How are plans priced?
By how many orders your group runs through Kvutza each month (see Pricing). The price includes hosting if we host it, and is lower if you host it yourself. An order counts once it's entered in your portal, whoever enters it; your owner sees this month's count and the last three in the portal. Nothing is ever locked or slowed because of it.
What counts as an order?
Every order entered in your portal, except test orders, orders entered in trial mode, canceled, rejected or can't-fulfill orders, and duplicates.
What if we grow past our plan?
The first month you're over, your owner gets a heads-up in the portal. If you're over again the next month, your plan moves up to the next one automatically. The move takes effect that day: your billing date moves to it, and the unused part of your current plan is credited. We never move you down automatically, but you can ask us to, from your next billing period.
Can we buy it once instead of renting?
Yes, as a one-time purchase, priced by your plan's size when you buy. If your group later grows past that plan, you pay the difference to the bigger plan's one-time price. An upkeep plan for updates and support is optional.
Do you offer discounts?
On request: ask us. A discount applies to the plan it was given on, so it ends if you move to another plan, unless we agree to carry it over. When we run a promotion for new groups, it's shown on the Pricing page and applied when you subscribe; it doesn't combine with another discount, so you get the larger. And if our prices change, you keep the price you signed up at until we give you notice and move you to the current price from a next billing period.
Is tracking automatic?
Once a tracking number is in (from the seller, the buyer, your staff or an import), the carrier is checked automatically after you connect your carrier accounts. Seller order status is checked where the seller allows it. To turn it on, you connect your own carrier accounts (UPS, USPS or FedEx developer apps, or a tracking platform). The U.S. Mint's own order status can't be looked up automatically before a tracking number exists; buyers, staff, imports and forwarded seller emails fill that in.
Will my buyers see your name?
No. Your buyers see your group's name, your logo and your email address. Kvutza's name appears on your own settings pages, and on the banner shown to the support person while support access you granted is in use.
What if I need help inside my portal?
You grant support access from your settings: who asked, why, which areas, read-only or not, and for how long (one hour to three days). We get a one-time link. Everything support opens or changes is written to a log you can read, and you can revoke access at any moment.
Do I need my own accounts for email, shipping and payouts?
Yes. The portal connects to your own email and shipping accounts, in your name, and buyers are paid through your own bank or Zelle. We never pool them.
Does it message my buyers automatically?
Only when you turn it on. Buyer messaging (texts, Discord and phone notifications), live labels, assistant accounts, W-9 collection and adding orders from forwarded seller emails all ship switched off. You review and turn on each one. You choose which channels your group uses, and each buyer picks theirs. WhatsApp messages are ready for you to send from your own WhatsApp, unless you add automatic sending through your own WhatsApp Business account. Account emails (email confirmations, invitations, password resets) go out once you connect your email account, separately from the buyer-messaging switch.
Does it work with WhatsApp?
Yes, with the WhatsApp groups and chats you already use. Buyers say yes to WhatsApp when they create their account, and their consent is recorded; only buyers who said yes get WhatsApp messages. Under Messaging → WhatsApp & text, a message for many buyers is prepared as a personal copy for each. Automatic notices, like label ready or payment sent, get a WhatsApp copy ready to send too. Deals and referral links share to WhatsApp chats and Status, and invitation links can go by WhatsApp.

Today: messages go from your own WhatsApp, one tap each, free.

Automatic: an optional add-on through your group's own WhatsApp Business account, off until your owner switches it on. Meta must approve each message's wording first, and the portal shows exactly what to submit. Meta charges per message and bills your group directly. Order updates then go out on their own to buyers who said yes to WhatsApp, and anything that can't go right away comes back to your phone, one tap to send.

Can I try it without my buyers noticing?
Yes. Trial mode holds every message to buyers, on every channel, and lists what would have gone out, with a banner on every back-office page while it's on. Try it on a real deal, then clear the trial data or keep everything and go live.
Does it pay my buyers?
No, it doesn't send money. You approve payouts in the portal, pay them from an export through your own bank or Zelle, and record each one by hand. Referral commissions are worked out and recorded the same way.
Can members sign in with Google?
Yes, if you turn it on. You connect your own Google app under Settings, test it, and switch it on; Google confirms the member's email. It's off until you do.
Can I bring my existing buyer list?
Yes: import from a spreadsheet, then invite buyers to finish their accounts. Every upload comes with a sample sheet showing what goes in each column.
Can assistants help without seeing my finances?
Yes. Only the owner sees income, costs and profit. Assistants get the areas you grant, each one separately. A payment an assistant sets up is approved by someone else. Assistant accounts stay off until you turn them on, after you review what each role can see.
Our coins sell in household lots. Does that work?
Yes. Set coins per order on the deal and members sign up by number of orders; caps, limits and payments count coins. A later release at a different price is its own deal, and your dealers see both as one product.
What happens if I leave?
You export everything (spreadsheets and a full copy of your database). You always get your data back. If hosting ends, we keep an encrypted archive for 12 months, then delete it. When you leave on purpose, we delete on your written instruction. If you made a one-time purchase, you simply keep running it.
Is there a phone app?
Yes, an installable web app: it adds to the home screen with your group's name and colors, opens without the browser bar, and updates the next time it's opened; there's nothing to download from a store. Buyers get their own deals, orders and payments. You and your team get the On the go screens: post a new deal as a draft, open or close sign-ups, approve them one by one or all at once, change a deal's target, limits, release time or order deadline with a note, and see what needs attention. Receiving works with a barcode scanner or by typing the number. You choose whether to turn on phone notifications for your staff.
What does it run on?
Web, on any device, and the installable phone app above.
Is it finished?
It is in daily use running a buying group. Like any live product it keeps changing; hosted groups get each release applied for them, and we tell you before anything that can't be undone.
What if we stop paying?
Your portal goes read-only, then export-only, and your owner can always download a full copy of your data. If we host it, the dates, the notices and what restoring it costs are in our Terms.
