Every deal. Every order. Every payout. One system.

Kvutza automates and streamlines the back office of your buying group, from sign-ups and order tracking to receiving, referrals and payments, all under your group's own name.

Works with the WhatsApp groups and chats you already use.

Automate the repetitive work. See what needs attention. Keep every deal organized from sign-up to payout.

Built by people with firsthand experience running buying groups. Your group gets its own private installation and database. Your data is encrypted, kept private and remains yours.

The Needs attention page in the demo installation: open work as cards, each with a count, what to do, and one button, such as Decide requests or Remind them.
Needs attention: what's stuck, and the one thing to do about it. Demo Group, fictional data.

One deal

From deal to payout, on one record

Duplicate orders are flagged, amounts owed are calculated and standby buyers can be promoted. Once a tracking number is in (from the seller, the buyer, your staff or an import), the carrier is checked automatically after you connect your carrier accounts. Seller order status is checked where the seller allows it. Everything else stays organized and surfaces when it needs attention.

  1. DealYou post it: price, cap, dates.
  2. Sign-upsMembers join; you approve.
  3. OrdersOrder numbers in, duplicates flagged.
  4. ReceivingPackages checked in on a phone.
  5. PayoutWorked out from what you accepted.

What sets Kvutza apart

Buyers always know where things stand

Each order shows a progress strip, from ordered to paid. Fewer “where's my money?” messages.

Buyers type less

Addresses and payout details are saved, and the usual one is already picked when they ship or ask to be paid.

Every deal set up your way

Custom order fields per deal, household lots, price groups and individual offers, later releases, caps and standby.

The busywork runs itself

Duplicate orders flagged, amounts owed calculated, and carrier tracking checked automatically once a tracking number is in, after you connect your carrier accounts.

Buyers hear the news

Label ready, out for delivery, payment sent: by text, WhatsApp, Discord or a phone notification. You choose the channels, and each buyer picks theirs. Built in, switched on by you.

Your group in your pocket

An installable app for you and your team: post a deal, open or close sign-ups, approve them and receive boxes, all from your phone.

Buying and selling in one place

Dealer shipments, invoices and profit per deal, on the same record as your buyers' side.

Security you can check

Your own private installation and database, a key your group can hold, support access only when you grant it, with a log you can read, a sealed audit log that shows any tampering, and, on a rented plan, a “What we share” page showing exactly what the portal tells us.

Try it before your buyers know

Trial mode holds every buyer message and lists what would have gone out, so you can run a real deal first, then clear the trial data or go live.

Buyer messaging, text sending and assistant accounts are built in, switched on by you. WhatsApp messages go from your own WhatsApp, one tap each, or automatically through your own WhatsApp Business account if you add it.

Deal day

Run deal day, not a spreadsheet

Sign-ups are approved, capped or put on standby in one place. Orders arrive with the seller's order number. When packages arrive, receiving and checking happen at the desk or on a phone: scan the label or type the tracking or order number, count what's inside, and accept it or note the problem.

Adding orders and tracking from seller emails your members forward is built in, switched on by you.

The receiving desk: a box to scan or search for, the boxes expected, one marked delivered by the carrier, and the boxes received recently.
The receiving desk: what's expected and what's come in.

Payments

Pay buyers without the guesswork

What a buyer is owed comes from the units you accepted, at the payout you agreed. Partial payments, payment documents and referral commissions are on the same record, so “did we pay them?” has one answer. The buyer sees what's owed and what's paid.

The portal doesn't send money: you approve payouts in it, pay them through your own bank or Zelle, and record each one.

A buyer's Payments page: the balance ready to request, the amount already requested, and a breakdown by order.
What the buyer sees: owed, requested, paid.

On the go

Run your group from your phone

Kvutza adds to your home screen as an installable web app, with your group's name and colours. It opens without the browser bar, there's nothing to download from a store, and updates arrive the next time you open it. The controls are sized for a thumb.

  • Post a new deal as a draft
  • Open or close sign-ups, and approve them one by one or all at once
  • Change the target, limit, most per buyer, release time or order deadline, with a note
  • See what needs attention
  • Receive boxes with a barcode scanner, or by typing the number

Phone notifications for your staff, on each device they choose, are built in, switched on by you.

The On the go page on a phone: a Post a new deal button and the open deals to update, each with how many have signed up.
On the go: post a deal, update one, see what needs you.

Before Kvutza / With Kvutza

Before Kvutza

  • Sign-ups in a form, orders in a spreadsheet, questions in a chat
  • Package counts in somebody's head
  • Payments pieced together from payment apps
  • An assistant sees everything, or can't help at all

With Kvutza

  • Each deal's sign-ups, orders, packages and payments on one record
  • Packages received and checked on a phone
  • Amounts owed calculated from what you accepted
  • Assistants see only the areas you grant

Your data

Your group, your data

  • A private installation for your group
  • Support access only when you grant it
  • Your data remains yours

Your group gets its own private installation and database, not a shared customer database, on your own web address and sending email from your own domain. We hold no standing access: when you need help, you grant support access for the areas and hours you choose, and every page support opens is written to your audit log.

Who it's for

For the people who run the group

You post the deals, answer the questions, chase the packages and pay everyone at the end. Kvutza keeps all of it in one place.

Mint release groups

Buy the new releases the day they drop, ship them in, and pay everyone once the boxes check out.

Retail and electronics deal groups

Members order from the retailer, the packages come to the group, and the group resells.

Sign-up offer groups

Members complete an offer and send proof. Nothing ships.

Groups that sell on to dealers

Pre-sell to a dealer, ship in batches and invoice them.

Groups that grow by referral

Members bring in members, and the commission has to be right.

Groups outgrowing the spreadsheet

A form, a sheet, a chat and a long night of payments.
